We designed and facilitated two interactive AI workshops for employees within the financial department of UMC Utrecht, helping them understand the capabilities and limitations of generative AI in daily work.
Their Challenge

UMC Utrecht recognised a growing interest in Artificial Intelligence across its organisation, especially within the financial department. While AI tools such as Copilot were increasingly visible in day-to-day work, employees had varying levels of familiarity, confidence, and understanding of how these technologies could be used effectively and responsibly.
A key challenge was that AI is often perceived as inherently “smart”, but it is just a really sophisticated statistical model. Therefore, effective use depends heavily on understanding its limitations, applying context, and formulating clear instructions. UMC Utrecht wanted to create a practical and accessible learning environment that balanced experimentation with critical understanding.
Our Solution
We designed and facilitated two interactive workshops for employees within the financial department.
The first workshop focused on practical AI usage and prompt engineering. Participants were introduced to generative AI concepts and learned how the quality of prompts directly influences outcomes. Through hands-on exercises and examples, employees explored how Copilot can support daily tasks, while also learning where human judgement remains essential.
The second workshop took a more interactive format, combining panel discussions and live polling to explore employee sentiment, expectations and concerns regarding AI adoption. This enabled participants to reflect on opportunities and limitations of AI in their own context, while providing visibility into different levels of maturity and readiness across the department.

Outcome
The workshops created a stronger foundation for responsible and practical AI adoption within the department. Participants gained a more realistic understanding of generative AI, including both its potential and limitations, and developed practical skills for interacting with AI systems more effectively.
In addition, the workshops provided valuable insight into organisational sentiment and adoption patterns, helping to identify both early adopters and areas where additional guidance or support may be required.
